Who we are

Global M'ckarm International Care Services Limited is the data controller for the personal information described in this policy. We are registered in England and Wales under company number 13903018, and our registered office is 29 Victoria Street, Aylesbury, HP20 1LZ.

What this policy covers

This policy covers information collected through this website, including our contact and referral forms.

People we support and members of our staff receive separate, more detailed privacy notices about how we handle their care and employment records.

Information we collect

We only collect the information we need. Depending on how you use the site, this may include:

  • Contact form: your name, email address, optional phone number, the topic and your message.
  • Referral form: your name, role, organisation, email address and optional phone number, and the name or initials of the person you are referring, the area they live in, the service needed, how soon support is needed and a short summary of their needs.
  • Technical information: when you visit, our hosting provider records basic technical details such as your IP address, browser type and the pages requested. This helps keep the site secure and working.

A referral summary may include health information. This is special category data, and we give it extra protection. Please share only what is needed and do not send full medical records through the form.

How we use your information

We use your information to:

  • reply to your message or enquiry
  • consider a referral and contact the referrer and, where appropriate, the person being referred
  • arrange an assessment and plan support
  • keep a record of enquiries and referrals so we can follow them up properly
  • keep the website secure and investigate misuse

We do not sell your information. We do not use it for marketing unless you have asked us to.

Our lawful basis

Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we rely on the following lawful bases:

  • Legitimate interests, to respond to enquiries and run a safe, secure website.
  • Taking steps at your request before entering into a contract, when you ask us about care or support.
  • Legal obligation, where the law requires us to keep or share information, for example for safeguarding.

For health information in a referral, we rely on the condition for the provision of health or social care in Article 9(2)(h) of the UK GDPR and the related conditions in Schedule 1 of the Data Protection Act 2018. Where a safeguarding concern arises, we may rely on the safeguarding conditions in the same Act.

Who we share information with

We only share information when we need to. This may include:

  • health and social care professionals involved in a person's care, such as social workers and community teams, when needed to arrange safe support
  • the local authority or the police, where there is a safeguarding concern or the law requires it
  • trusted service providers who help us run our business, such as our website host and email provider. They may only use the information on our instructions.

The background video on our homepage is streamed from Adilo, a video hosting service. When the video loads, your browser connects to their servers, which can see your IP address. Adilo is run by a company based outside the UK.

International transfers

We aim to keep personal information within the UK. Where a service provider processes information outside the UK, we make sure appropriate safeguards are in place as required by UK data protection law.

How long we keep information

We keep information only as long as we need it:

  • Contact messages: usually up to 12 months after our last contact with you, unless they lead to ongoing support or employment.
  • Referrals that do not lead to support: usually up to 12 months after we close the referral.
  • Referrals that lead to support: these become part of the person's care record and are kept in line with our records retention policy.

Keeping information secure

Submissions from our forms are stored in a private area of our website that only authorised staff can access. They are not visible to the public or to search engines.

When a new message or referral arrives, the email alert sent to our office does not include any personal details. Staff log in securely to read it.

Our site uses an encrypted connection (HTTPS). Staff access is protected by individual logins.

Document downloads

You can request a PDF copy of our policies and statements. To do this, we ask for your name and email address, and for you to confirm that you will not misuse or misrepresent the document.

We use these details to email the document to you, and we keep a record of who has requested each document for audit purposes. Our lawful basis is your consent, which you give by ticking the confirmation box.

We keep these records for up to 24 months and do not use them for marketing. You can withdraw your consent and ask us to delete your record at any time by emailing office@globalmckarm.co.uk.

Your rights

You have rights over your personal information. You can ask us to:

  • give you a copy of the information we hold about you
  • correct information that is wrong or incomplete
  • delete your information, where there is no good reason for us to keep it
  • restrict how we use it, or object to us using it
  • transfer it to another organisation, where this applies

To use any of these rights, email office@globalmckarm.co.uk. We will reply within one month. There is usually no charge.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right.

You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Cookies

Our website only uses cookies and similar storage that are needed for it to work. See our cookies policy for details.
